Alliance Française Bangkok is hiring an administrative officer

for the registration for French classes and at the French Higher Education institutions

 

Context: 

The agent will be under the supervision of the Director of Alliance Française Bangkok and will work in a team of 5 persons in the facilities of Alliance Française.

The agent will also be in contact with two Campus France agents based at the French Embassy in charge of French Higher Education system promotion.
The agent will work part-time as a Campus France Thailand administrative officer and part-time as a registration and media librarian agent at Alliance Française.

The Campus France Thailand office aims to promote studies in France to students in Thailand and to assist them in their study projects while Alliance Française Bangkok aims to offer a French cultural and linguistic offer for everyone.

Role & responsibilities:

  1. For Campus France Thailand – (60% approximately)

  • Main mission

The agent’s main mission is to accompany the applicants to comply with the preliminary steps and required procedures of “Etudes en France” (EEF) platform. 

  • Main tasks to be achieved
    • Carry out administrative management of student files;
    • Verify and validate applicants’ files under the framework of the Campus France procedure;
    • Follow up all steps of the student’s payment;
    • Manage appointments for the applicants’ educational interview;
    • Ensure daily statistical monitoring of applicants’ files;
    • Answer applicants questions regarding the procedure (phone, in person, Facebook..);

  2. For Alliance Française Bangkok – (40% approximately)

  • Main mission 

The agent’s role is to welcome, advice and register clients, both at the registration department of Alliance Française and at the Media library, and to ensure follow-up for language and arts courses (adults and young people), exams, companies and language stays, as well as rental of book and pedagogical ressources at the media library. 

  • Main tasks to be achieved:
    • Welcoming, advising and registering students by mail, phone or in person (classes, placement tests, membership card…) both for registration and media library along with books and other documents lending. 
    • Keeping tracks of clients until the end of registration (call back clients, answering questions and demands, sending timetables) 
    • Making registration using our AEC software – Administrative monitoring (timetables modifications, leaves, classes…)
    • Any other relevant tasks for the registration and media library department to enable continuity of service as requested by the Management. 

Skills required:

  • Proficiency in IT skills: office tools, computer knowledge, filing and pooling;
  • Bachelor’s degree or equivalent;
  • Native level of Thai, good level of English and French (B2), 
  • Good knowledge of the Thai & French higher education system;
  • Sense of organization, Team Player; Autonomy and initiative; Excellent social skills; involving the sharing of values and skills within multicultural teams.
